Offboard Remote Employees Without Loose Ends

Accounts, devices, data, and access — the same-day checklist that prevents ex-staff surprises.

  1. 1. Kill access first, within hours

Disable (don't delete yet) 365, VPN, and SaaS accounts; revoke sessions; change shared passwords they knew. Access dies the day employment does — every hour of lag is exposure.

  2. 2. Preserve, then wipe

Convert mailbox to shared (free, keeps history), transfer OneDrive ownership to the manager, archive what legal needs. THEN wipe or retire devices — wiping before preserving destroys evidence and history.

  3. 3. Recover hardware with a paper trail

Prepaid return label same day, checklist of expected items (laptop, charger, token), and a deposit process. Remote returns fail without logistics — plan the box, not just the policy.

Offboard Remote Employees Without Loose Ends — When to Call a Pro

  • No process exists — we'll build the offboarding runbook with you.
  • Suspicious departure needing forensic preservation before wipe.
  • Ongoing HR-IT coordination as a managed service.

Guide FAQ

Disable immediately, delete after retention (30–90 days) with mailbox converted to shared first. Deleting day-one destroys evidence and history.
Selective wipe of company data via MDM — if you lack MDM, that's the gap to close before the next departure.
