Remove Duplicates in Excel Without Breaking Data

Mailing lists, inventory, reports — dedupe safely with backups, column selection, and conditional checks.

  1. 1. Copy the sheet first

Right-click tab → Move or Copy → Create a copy. Dedupe on the copy — the original stays pristine if your column choices were wrong. This thirty-second habit has saved careers.

  2. 2. Choose key columns deliberately

Data → Remove Duplicates → uncheck everything, then tick ONLY the true identity columns (email, not first name). Removing by name alone merges different people — the classic dedupe disaster.

  3. 3. Verify with conditional formatting first

Before deleting: Home → Conditional Formatting → Highlight Duplicates on the key columns. Eyeball the highlights — near-duplicates (typos, LLC suffixes) need judgment, not automation.

Remove Duplicates in Excel Without Breaking Data — When to Call a Pro

  • Recurring dedupe across systems — Power Query automation done right.
  • CRM or mailing list hygiene at scale with merge rules.
  • Data migration where duplicates multiply across imports.

Guide FAQ

First occurrence stays, later ones delete. Sort deliberately first if 'first' should mean newest or highest-value.
Excel can't fuzzy-match natively — sort, eyeball, or use Power Query fuzzy merge. Automation handles exact dupes; humans handle cousins.
