Share Your Outlook Calendar Without the Confusion

Free/busy vs full details, the scheduling assistant, and sharing that survives staff changes.

  1. 1. Share with the right permission level

Calendar → Share → pick Free/Busy for outsiders (they see availability, not titles) and Can view details for the team. Most oversharing accidents come from defaulting everyone to full details.

  2. 2. Use Scheduling Assistant, not email threads

New meeting → Scheduling Assistant shows everyone's free blocks at once. One screen replaces six 'does Tuesday work?' emails — insist the whole office uses it.

  3. 3. Fix stale shares after staff changes

Remove departed staff shares and re-add replacements. Ghost calendars from ex-employees cause the classic 'I booked the room but nobody came' — audit shares quarterly.

Share Your Outlook Calendar Without the Confusion — When to Call a Pro

  • Resource calendars (rooms, equipment) double-book constantly — needs proper setup.
  • Cross-company scheduling with federated calendars failing.
  • Permissions broken after migration — admin-side repair.

Guide FAQ

Only if you share details with them. Free/Busy sharing — the default you should use externally — hides everything but availability.
