Shared Mailbox in Outlook: Setup and Daily Use Without Chaos

info@, support@, quotes@ for the whole team — automapping, sent-items behavior, and reply etiquette.

  1. 1. Convert to a real shared mailbox (free)

Microsoft 365 admin → Teams & groups → Shared mailboxes → Add. Shared mailboxes under 50GB need no license. Stop sharing passwords immediately — shared logins destroy accountability and MFA.

  2. 2. Grant access and fix sent-items

Add members with Full Access (reads everything) and Send As (replies as info@). Then set the sent-items behavior so replies land in the shared Sent folder, not each person's — otherwise nobody knows what was answered.

  3. 3. Set reply etiquette: categories and ownership

Agree on color categories (red = mine, green = done) and a rule: if you reply, you categorize. Without ownership rules, shared mailboxes become tragedy-of-the-commons inboxes.

Shared Mailbox in Outlook: Setup and Daily Use Without Chaos — When to Call a Pro

  • Permissions tangled across ex-staff and delegates — audit and rebuild.
  • You need auto-assignment, SLAs, or ticketing — shared mailboxes don't scale there.
  • Migration left duplicate shared mailboxes and broken automapping.

Guide FAQ

No license needed under 50GB — it's free. Over 50GB needs a license, which is usually the signal to archive, not pay.
Add it manually in Outlook mobile: Settings → Add account → Shared mailbox. Automapping only works on desktop Outlook.
