Read Receipts in Outlook: Polite Tracking Without Being Creepy

Request delivery and read confirmations per message — and why half your receipts never come back.

  1. 1. Request per message, not globally

Compose → Options → Request a Delivery Receipt / Read Receipt. Per-message requests for contracts and deadlines; global receipts for everything mark you as that sender.

  2. 2. Understand what each receipt proves

Delivery = reached their server (reliable). Read = they opened it AND their client agreed to tell you (unreliable — Gmail, phones, and privacy tools routinely decline). Treat missing receipts as silence, not proof.

  3. 3. Set your own response policy

File → Options → Mail → Tracking: choose Ask each time. Auto-declining protects your privacy; auto-accepting tells every marketer exactly when you read.

  • Legal proof-of-delivery needs — receipts aren't admissible evidence; get proper e-sign.
  • Org-wide tracking policies for compliance mail.
  • Mail flow issues where receipts reveal server-side failures.
